- Business information — clinic name, role, business address
- Enquiry and communication data — messages sent via our contact form, WhatsApp, or email
- Payment information — billing name, card details (stored and processed securely via Stripe — we do not store full card numbers ourselves)
- Service usage data — information about how your clinic uses the AI assistant, including conversation logs processed through Respond.io
We do not collect sensitive personal data (such as medical records or health information) directly. Patient conversation data that flows through our platform belongs to the clinic and is processed on the clinic's behalf as described in Section 5.
3. How We Use Your Personal Data
We use personal data for the following purposes:
- To respond to your enquiries and arrange demonstrations
- To deliver, configure, and maintain our AI automation services
- To process payments and manage billing
- To send service-related communications (updates, performance reports, renewal notices)
- To improve our services based on usage patterns
- To comply with our legal obligations under Singapore law
We will only use your personal data for the purposes for which it was collected, or for purposes that are directly related.
4. How We Collect Personal Data
We collect personal data when you:
- Submit an enquiry or demo request via zolin.io
- Message us on WhatsApp
- Sign a service agreement or NDA with us
- Use our WhatsApp AI or Front Desk AI services as a client
- Correspond with us by email
We may also collect basic website usage data (such as pages visited and browser type) through analytics tools to help us improve our website.
5. Patient Data — Our Role as Data Intermediary
When we provide AI automation services to dental clinics and health businesses, patient conversation data may flow through our platform (via Respond.io). In this context:
- The clinic is the data controller — it owns and is responsible for the patient data
- Zolin acts as a data intermediary — we process patient data solely to deliver the agreed services, on the clinic's behalf
- We do not use patient data for any purpose other than delivering the services to the relevant clinic
- We do not sell, share, or retain patient data after the engagement ends
- Patient data is stored through Respond.io's secure cloud infrastructure in accordance with applicable data protection standards
Clinics using our services remain responsible for obtaining appropriate patient consent for WhatsApp communications and for fulfilling their own PDPA obligations as data controllers.
6. Disclosure of Personal Data
We do not sell your personal data. We may share your personal data with the following categories of third parties, only to the extent necessary to deliver our services:

- Storing payment data exclusively within Stripe's PCI-compliant infrastructure
- Processing conversation data through Respond.io's enterprise-grade secure infrastructure
No method of electronic transmission or storage is completely secure. While we take reasonable steps to protect your data, we cannot guarantee absolute security.
8. Data Retention
We retain personal data for as long as necessary to fulfil the purposes for which it was collected, or as required by applicable law:
- Client contact and business data — retained for the duration of the engagement and for up to 2 years after termination, for legal and compliance purposes
- Payment records — retained as required by Singapore financial record-keeping obligations
- Patient conversation data (processed on behalf of clinics) — retained in Respond.io in accordance with the clinic's own data retention settings and PDPA obligations; Zolin does not retain copies after the engagement ends
9. Your Rights Under PDPA
Under Singapore's Personal Data Protection Act 2012, you have the right to:
- Access the personal data we hold about you
- Correct personal data that is inaccurate or incomplete
- Withdraw consent to the collection, use, or disclosure of your personal data (subject to legal and contractual limitations)
